Using the Invoices module in quickclaim
This module is where you manage all plan- and self-managed claims.
The Invoice Management module is where you can view, edit, issue, and manage all invoices for plan- or self-managed claims, as well as view invoices issued by the system for agency-managed claims.
The Invoice Management menu is organised into several key tabs:
- Ready to Invoice
- Invoice Batch History
- Issued Invoices
- Invoices in Error
You can decide whether to push invoices out directly through quickclaim, or through your finance software. We do this as part of your setup process.
Ready to invoice
In this tab, you can review all approved plan- and self-managed claims that have been pushed through via the integration package (interface), which extracts approved plan- and self-managed claims from Service Delivery module or your integrated CRM and pushes them into quickclaim.
Here’s what you can do:

Edit or reject invoices using the buttons under the Action column on the right-hand side.

View the total number and total value of claims at the top of the screen.

Apply filters to display specific participants, time periods, products, and more.

Issue invoices by clicking the Invoice button.
After clicking the Invoice button, the system will issue the invoices and automatically push them to your integrated finance system. You can then move to the Invoice Batch History tab to review batch details.
Issued Invoices
This page displays all invoices issued by the system — whether for plan/self-managed or agency-managed claims.

You can cancel an entire invoice by clicking the × button under the Actions column on the right-hand side.

You can also cancel a specific invoice line item by clicking the × button within the Invoice Details page.

A pop-up will appear asking you to provide a reason for cancelling the invoice.

Once confirmed, the system will issue a credit note, push it to your finance software(if connected to quickclaim), and send the cancellation along with your provided reason to CRM.
The cancellation reason will be displayed in your CRM, and the transaction will become re-approvable. If the cancelled transaction is later edited and re-approved in CRM, a second sequence of the record will be pushed into quickclaim by the interface and will appear in the Ready to Claim or Ready to Invoice page, depending on the claim type.
Invoice batch history
This page displays all issued invoice batches that were submitted from the Ready to Invoice page.

You can view the details of a batch by clicking the Details button in the Actions column.

This will display all invoices within the selected batch.

The issued invoice number for each invoice is also visible here.
Invoices in error
This page displays all invoices that have been rejected by the user from the Ready to Invoice page. These rejected invoices are pushed back to your CRM, along with the note and error message provided by the user at the time of rejection.
If a second sequence of the claim is later pushed into quickclaim by the interface (after being edited and re-approved in your CRM), the record will automatically drop off from the Invoices in Error page.
